Digital Archiving of Lab Results in a DMS

Laboratories generate large volumes of documents every day: request forms, analysis reports, quality control logs, calibration certificates, and result sheets. Keeping all of these in paper folders or scattered across local drives is not only time-consuming; it increases the risk of errors and rarely meets applicable retention obligations.

iGuana iDM provides laboratories with a central, tamper-proof archive for all their document streams. Lab results and completed forms are captured digitally, tagged with relevant metadata (patient ID, sample type, analysis date, performing analyst), and linked directly to the corresponding medical record. Physicians and lab technicians no longer need to search across multiple systems: all relevant information is in one record.

Integration with existing Laboratory Information Systems (LIS) is handled through standardised connectors. iGuana iDM supports widely used healthcare standards including HL7, enabling results to be transferred automatically from the LIS and archived without manual intervention. Duplicate data entry is eliminated.

A concrete benefit for lab staff is the ability to flag abnormal values or critical results within the record and attach an automated notification workflow. When a result falls outside reference ranges, the relevant clinicians receive an automatic alert. This significantly shortens response times and reduces the risk of missed results.

For quality managers, iGuana iDM delivers full traceability. Every document carries an immutable audit trail: who created, modified, or accessed a file and when. This is essential for accreditations such as ISO 15189 and for inspections by external bodies. Version control ensures that the correct version of an analysis protocol or working procedure is always available, even after a later revision.

GDPR compliance for laboratory data is not optional. iGuana iDM enforces access rights at document level: only authorised staff can view or edit sensitive patient data. Retention policies are applied automatically, so documents are deleted or anonymised in a controlled manner once the statutory retention period expires.
