As a full-time Bid & Tender Specialist located in Belgium, you will be responsible for delivering competitive bids / tenders for document management, archive storage, scanning equipment, digitization & archiving projects, and will be fully accountable to senior management for their successful submission. To succeed in this challenging role, you must possess all the skills necessary to independently manage and coordinate the entire tender & bid process from A to Z, starting with the identification of relevant bidding opportunities, tender assessment & analysis, and all the way through to preparation of quality tender documentation, including proposal writing and liaising with relevant internal and external stakeholders, timely bid submission and follow-up.

An ideal candidate would also have several years of experience in the document management / archiving industry and experience working on bids for this sector.

Language Requirements:

  • Native or fluent proficiency in Dutch AND
  • Native or fluent proficiency in French AND
  • Native or fluent proficiency in English 


  • Proactively identify relevant bidding opportunities in a timely manner
  • Continuously monitor tender platforms & websites for potential tender opportunities
  • Analyze relevant tenders & organize tender assessment meetings with senior management
  • Present comprehensive project briefs to senior management for Go / No Go decisions
  • Create, prepare, write, and regularly update and maintain all tender documentation
  • Keep current all standardized templates & tender-related documents in multiple languages
  • Produce accurate tender documentation while maintaining highest quality standards
  • Manage all aspects of each individual bidding process, including administration & planning
  • Effectively liaise and coordinate with all internal & external stakeholders
  • Attend meetings with prospective clients when required (e.g. tender site visits, tender Q&A)
  • Analyze and report on tender outcomes, suggest and implement improvements
  • Take full ownership of the tender process; serve as SPOC for all tender-related matters

Required Qualifications

  • Higher education degree (Bachelor), preferably in a Business or Language related field
  • Commercial, results-oriented, and ‘can-do’ attitude; creative and innovative thinking
  • Ability to handle multiple bids simultaneously using excellent organizational & planning skills
  • Ability to work under pressure to tight deadlines and consistently deliver quality work
  • Ability to work independently, with minimal guidance, to solve problems & set priorities
  • Excellent attention to detail, strong analytical capacities, and administrative skills
  • Excellent professional writing skills: native or fluent proficiency in Dutch, French AND English
  • Strong proficiency in MS Word, Excel, PowerPoint (MS Office)

Preferred Qualifications

  • Experience writing & submitting tenders / bids, preferably in the DMS / archiving field
  • Experience in document management / archiving sector
  • Experience in customer account management / business development
  • Experience in project management
